Access to this community is limited to approved members only and is not open to the general public. Personal data shared within this private ministry is used solely for membership communication, community participation, and ministry-related purposes.

Communication Data that includes any communication that you send to us whether that be through the contact form on our website, through email, text, social media messaging, social media posting or any other communication that you send us, which includes data such as your name, email address, contact details, and your inquiry. We process this data for the purposes of communicating with you, for record keeping and for the establishment, pursuance or defence of legal claims. Our lawful ground for this processing is our legitimate interests which in this case are to reply to communications sent to us, to keep records and to establish, pursue or defend legal claims.

Customer Data that includes data relating to any purchases of goods and/or services such as your name, title, billing address, delivery address, email address, phone number, contact details, purchase details and payment confirmation information provided by our third-party payment processors.  We do not store or have access to your full credit or debit card details. We process this data to supply the goods and/or services you have purchased and to keep records of such transactions. Our lawful ground for this processing is the performance of a contract between you and us and/or taking steps at your request to enter into such a contract.

This includes your name, email address, and appointment time when you schedule a session through our online scheduling software. We use this information soley to schedule, confirm, and communicate regarding appointments. We do not collect intake forms, medical histories, or session notes online. 

User Data that includes data about how you use our website and any online services together with any data that you post for publication on our website or through other online services. We process this data to operate our website and ensure relevant content is provided to you, to ensure the security of our website, to maintain back- ups of our website and/or databases and to enable publication and administration of our website, other online services and business. Our lawful ground for this processing is our legitimate interests which in this case are to enable us to properly administer our website and our business.

Technical Data that includes data about your use of our website and online services such as your IP address, your login data, details about your browser, length of visit to pages on our website, page views and navigation paths, details about the number of times you use our website, time zone settings and other technology on the devices you use to access our website. The source of this data is from our analytics tracking system. We process this data to analyze your use of our website and other online services, to administer and protect our business and website, to deliver relevant website content and advertisements to you and to understand the effectiveness of our advertising.  Our lawful ground for this processing is our legitimate interests which in this case are to enable us to properly administer our website and our business, to grow our business, and to decide our marketing strategy.

Marketing Data that includes data about your preferences in receiving marketing from us and our third parties and your communication preferences. We process this data to enable you to partake in our promotions such as competitions, prize draws and free give-aways, to deliver relevant website content and advertisements to you and measure or understand the effectiveness of this advertising.  Our lawful ground for this processing is our legitimate interests which in this case are to study how customers use our products/services, to develop them, to grow our business and to decide our marketing strategy. We may also collect client testimonial data such as your name, location, email address, audio or video reviews, and comments. We process this data to share reviews on our website or social media outlets. We will only share this information if you have given your consent to do so by completing the testimonial form. Our lawful ground for this processing is our legitimate interests which in this case is to help prospects of our products/services better understand our business, and to grow our business through marketing strategies.

For members of the Ascension Alchemy Association, we may collect limited personal data such as your name, email address, membership status, and participation related communications. This information is used solely to manage membership access, communicate with members, and facilitate participation within our private ministry community. Our lawful basis for processing this data is the performance of a membership agreement and our legitimate interests in operating a private, faith-based ministry. 

We may use Customer Data, User Data, Technical Data and Marketing Data to deliver relevant website content and advertisements to you (including Facebook adverts or other display advertisements) and to measure or understand the effectiveness of the advertising we serve you. Our lawful ground for this processing is legitimate interests which is to grow our business. We may also use such data to send other marketing communications to you. SENSITIVE DATA

In the course of providing our services, individuals may voluntarily share personal, spiritual, or wellness-related information. 

We do not intentionally collect or store sensitive or special category personal data through our website, including medical records, diagnoses, treatment notes, or insurance information. Any health-related or personal information share verbally during in-persona acupuncture session is not stored electronically or retained in digital records. It is also not used for profiling, marketing, or automated decision-making. 

We will only use your personal data for a purpose it was collected for or a reasonably compatible purpose if necessary. We may process your personal data without your knowledge or consent where this is required or permitted by law.

We do not carry out automated decision making or any type of automated profiling.

As a faith-based ministry, members may voluntarily share spiritual perspectives or personal reflections within the private community. Such information is shared at the members's discretion and is not used for profiling, marketing, or disclosed outside the private ministry except where required in accordance with the Association's governing bylaws. 

Acupuncture services are provided in person and are paid for via cash or third-party payment processors. We do not work with health insurance companies and do not submit or maintain insurance claims or electronic medical records.

We may collect data about you by you providing the data directly to us (for example by completing purchase, or scheduling forms, subscribing to content, or contacting us via email or joining our newsletter).

Our lawful ground of processing your personal data to send you marketing communications is either your consent or our legitimate interests (namely to grow our business).

Under the Privacy and Electronic Communications Regulations, we may send you marketing communications from us if (i) you made a purchase or asked for information from us about our goods or services or (ii) you agreed to receive marketing communications and in each case you have not opted out of receiving such communications since. Some communications may related to educational, inspirational, or community-based offerings connected to our faith-based ministry. You may opt out of non-essential communications at any time.  

We do not sell, rent, or trade your personal information to third parties for marketing purposes. We collect your data by completing purchases, scheduling services, applying for or maintaining membership, subscribing to our content, or attending our events or retreats or contacting us via email. 

Communications sent to the members of the Ascension Alchemy Association may include educational, spiritual, or ministry-related content. These communications are considereed part of the private membership relationship and are not sent for third-party marketing purposes. Members may opt out of no-essential communications at any time.

We have put in place security measures to prevent your personal data from being accidentally lost, used, altered, disclosed, or accessed without authorisation. We also allow access to your personal data only to those employees and partners who have a business need to know such data. They will only process your personal data on our instructions and they must keep it confidential.

 

We have procedures in place to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach if we are legally required to.

 

8. DATA RETENTION  

  

We will only retain your personal data for as long as necessary to fulfill the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements.

We do not retain written coaching records or digital health records. Email communications and transaction records are retained only as long as necessary for communication, legal, accounting and operational purposes. 

When deciding what the correct time is to keep the data for we look at its amount, nature and sensitivity, potential risk of harm from unauthorized use or disclosure, the processing purposes, if these can be achieved by other means and legal requirements.

For tax purposes the law requires us to keep basic information about our customers (including Contact, Identity, Financial and Transaction Data) for six years after they stop being customers.

  

In some circumstances we may anonymise your personal data for research or statistical purposes in which case we may use this information indefinitely without further notice to you.

If you are located in the United States, you may also have rights under applicable state privacy laws, including the right to request access or deletion of your personal information.

REFUND, CANCELLATION & NO-REFUND POLICY

1. STRICT NO-REFUND POLICY – ALL SALES ARE FINAL

Ascension Alchemists maintains a strict no-refund policy.

All purchases made through our website or directly with Ascension Alchemists—including but not limited to online courses, online events, digital content, life mentoring, personal development services, holistic wellness services, acupuncture services, in-person sessions, wellness retreats, workshops, and private sessions—are final, non-transferable, and non-refundable.

We clearly educate and communicate what we offer prior to purchase. By choosing to proceed, the client accepts full responsibility for their decision and agrees to this no-refund policy.

2. ONLINE COURSES, DIGITAL CONTENT & ONLINE EVENTS

All online courses, digital programs, recorded materials, live online events, workshops, and virtual gatherings are non-refundable once purchased.

This applies regardless of:

  • Attendance or non-attendance

  • Participation level

  • Completion status

  • Personal circumstances

  • Change of mind

Once access is granted or an event is purchased, no refunds, credits, or exchanges will be issued.

3. LIFE MENTORING, PERSONAL DEVELOPMENT & IN-PERSON SESSIONS

All payments for life mentoring, personal development coaching, holistic wellness services, acupuncture services, and in-person sessions are non-refundable.

Cancellations & Rescheduling

  • Appointments must be canceled or rescheduled at least 48 hours in advance

  • Requests made within 48 hours of the scheduled session result in:

    • No rescheduling

    • No refunds

    • Session is forfeited

This is the sole responsibility of the client, regardless of reason.

Missed appointments and no-shows are treated as completed services.

4. WELLNESS RETREATS & IN-PERSON EVENTS

All wellness retreats, immersions, and in-person events are strictly non-refundable, under all circumstances.

This includes but is not limited to:

  • Travel disruptions

  • Personal emergencies

  • Scheduling conflicts

  • Health concerns

  • Weather or external factors

By registering, the client acknowledges and accepts that all retreat and event purchases are final.

5. RESULTS DISCLAIMER

Ascension Alchemists provides services with integrity, care, and excellence.

However, results are not guaranteed. Individual outcomes vary based on personal effort, readiness, participation, and life circumstances.

A lack of perceived results does not constitute grounds for:

  • Refunds

  • Credits

  • Chargebacks

  • Disputes

The absence of a desired outcome is not a reflection of the quality or delivery of our services.

6. NO INSURANCE & PRIVATE PAY SERVICES

Ascension Alchemists does not accept or work with health insurance providers.

All services are offered on a private, cash-pay or payment-processing basis only.
No insurance reimbursements, claims, or retroactive adjustments are available.

7. ASCENSION ALCHEMY ASSOCIATION – MEMBERSHIP CANCELLATION

The Ascension Alchemy Association is a private, faith-based, member-only ministry.

Membership Termination

Members who choose to discontinue membership must provide 30 days’ written notice via email.

  • Membership fees are non-refundable

  • Access remains active through the 30-day notice period

  • Failure to provide notice does not entitle the member to a refund or credit

8. NO EXCEPTIONS

No refunds or credits will be issued except where required by applicable law.

Ascension Alchemists reserves the right to:

  • Refuse service

  • Reschedule sessions

  • Modify offerings

While maintaining this policy.

9. AGREEMENT TO POLICY

By purchasing any product, service, event, retreat, or membership from Ascension Alchemists, you acknowledge that you have read, understood, and agreed to this Refund & Cancellation Policy in full.
